This policy explains how SANVECTA LTD collects, uses and protects personal information in connection with our pest management and environmental services. We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

2. Information we collect

Enquiry information you provide (name, address, postcode, telephone, email, description of the pest or environmental issue, and any images or documents you upload). Property and site information we record on visits (access notes, risk assessments, monitoring readings, treatment records, product details, photographs of infestation or work carried out). Commercial account information (contact person, purchase orders, invoices, payment records). Website technical data (IP address, browser, pages viewed) collected via essential and, with consent, analytics cookies.

3. How we collect it

Directly from you via our website enquiry form, telephone, WhatsApp, email, in-person during site visits and through service contracts. Occasionally from third parties who instruct us on your behalf (for example managing agents or facilities managers).

4. Lawful bases (UK GDPR Article 6)

Performance of a contract, to prepare quotations and deliver the Services. Legitimate interests, to respond to enquiries, maintain service and treatment records, protect our business and recover debts. Legal obligation, to meet accounting, pesticide record-keeping, health and safety and waste-management duties. Consent, where required for marketing communications or non-essential cookies. Vital interests, in the rare event that a public health or safety risk requires us to act.

5. How we use your information

To respond to your enquiry, prepare a quotation and deliver the Services; to plan and record site visits, treatments and follow-up work; to issue invoices and manage payments; to comply with our legal, regulatory and insurance obligations; and to improve our services.

6. Sharing your information

We share personal information only where necessary with: trusted subcontractors and technicians engaged on your job; our insurers, accountants and professional advisers; IT and communications providers who host our systems; and regulators or public authorities (for example the Health and Safety Executive, Environment Agency or local authority Environmental Health) where required by law. For commercial customers, we may share service records with managing agents, landlords or auditors on request. We do not sell personal information.

7. International transfers

Our systems are primarily hosted within the UK and European Economic Area. Where a provider processes data outside the UK/EEA, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement.

8. Retention

Enquiry data is retained for up to 12 months if no contract follows. Service, treatment and pesticide application records are typically retained for 6 years to meet accounting, insurance and product-liability obligations, and longer where HSE or industry guidance requires. Marketing consent records are retained until you unsubscribe.

9. Security

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss or misuse, including access controls, secure devices and staff confidentiality. No system can be guaranteed 100% secure; if we become aware of a personal data breach that presents a risk to your rights, we will notify the Information Commissioner's Office and, where required, you.

10. Your rights

Under UK GDPR you have the right to be informed; to access your personal data; to have inaccurate data corrected; to have data erased in certain circumstances; to restrict or object to processing; to data portability; and to withdraw consent at any time where processing is based on consent.
